Gmail's real window for taking an email back

An unopened email feels recoverable. In Gmail it stops being yours to recall about thirty seconds after you press Send, so the useful work happens before the click.

Only for a few seconds, and the recipient's inbox has nothing to do with it. Google's Gmail Help page on sending and unsending describes one retraction feature: right after you send, a "Message sent" notice offers Undo, and you choose how long that offer lasts, 5, 10, 20 or 30 seconds. When the timer runs out the message is gone. Gmail has no recall button, and a tracker telling you the email is still unopened does not create one. That is worth knowing before you need it, because the options that do work all have to be chosen before you press Send.

What Undo Send really is

Undo Send is a short grace period, and it starts small. Google's own Keyword post on undo send says the default is five seconds. Microsoft describes the matching Outlook feature more plainly as delaying the send so you can cancel it, and that is the right way to think about both: Undo stops a message on your side, during the wait, and nothing reaches into another mailbox afterwards. Raising the period to 30 seconds costs nothing, and it is the one change every reader of this article can make today, under See all settings in Gmail on a computer.

Outlook users recall under narrow conditions

If you came to Gmail from a company running Outlook, you may remember a Recall button. Microsoft's support article on recalling a message sets two conditions: both sender and recipient need a Microsoft 365 work or school account, and the recipient must not have opened the message yet. The same page says personal accounts, Gmail among them, cannot use recall and should rely on Outlook's own Undo Send delay of up to 30 seconds. So recall is a feature of one organisation's shared mail system. Once your email crosses to another provider, as nearly every sales or recruiting email does, nobody can pull it back.

Deleting your copy changes nothing for them

It is natural to open Sent and delete the message. That removes your copy only. Google's own Gmail API reference describes its delete call as acting on a message in the user's mailbox, immediately and permanently, and the recipient's mailbox belongs to a different user. Their copy stays exactly where it landed.

Three take-backs you set up before sending

Each of these keeps a door open after the click, and each has a cost you should weigh.

  • Schedule the risky ones. Google's schedule send help page lets you hold up to 100 scheduled emails and cancel any of them from the Scheduled folder, which turns the email back into a draft. A pricing email scheduled for tomorrow morning can be rewritten tonight.
  • Use confidential mode for sensitive text. Google's confidential mode page lets you set an expiry date and remove access from the Sent folder at any time. Google is frank that recipients can still take screenshots or photos, and the recipient sees a restricted message, which can feel cold in a first sales email.
  • Send files as links you control. An attachment is a copy you can never retrieve. A link to a file you host can be switched off, so a proposal sent to the wrong person stops opening the moment you remove it.
The only email you can fully take back is one that has not left yet.

When the window has already closed

Write the correction now, while the original is still unread. A short follow-up in the same thread, saying which version is right, will usually be seen together with the mistake, and a tracker shows you whether the first one was opened before the fix arrived. Treat "unopened" with care, though. An open is recorded when the tracking image loads, so a reader with images turned off can read every word and still show as unopened. Act as if the email was read, and you will not be caught out.

What Fast Mail Tracker can and cannot do here

We cannot unsend an email, and no tracker can, for the reasons above. What our dashboard does offer after a send is narrower and honest about it. A tracked PDF is shared as a link, and deleting the document removes the stored file, so the link stops opening for anyone. You can delete an email's tracking record, after which later opens of that email record nothing. And if you have connected Gmail to the dashboard, you can permanently delete your own copies of a tracked email, which skips Trash and touches only your mailbox, never the recipient's.

Fast Mail Tracker is in early access while Google's security review completes, so places are limited; if you want proposals sent as links you can switch off, the install button below is where to start.

Frequently asked questions

Can I unsend an email in Gmail if the recipient has not opened it yet?

Only during the Undo Send period. Gmail Help says you can choose a send cancellation period of 5, 10, 20 or 30 seconds, and Undo is offered in the Message sent notice during that time. After it ends, Gmail has no way to recall the message, whether or not it has been opened.

How do I make Gmail's undo window longer?

In Gmail on a computer, open Settings, then See all settings, and next to Undo Send choose a send cancellation period of 5, 10, 20 or 30 seconds, then save changes. Google says the default is five seconds, and thirty is the longest Gmail offers.

Can Outlook recall an email sent to a Gmail address?

No. Microsoft says recall works only when both the sender and the recipient have a Microsoft 365 work or school account and the recipient has not opened the message. Personal accounts, including Gmail, cannot use message recall.

Does deleting an email from my Sent folder delete it for the recipient?

No. Deleting a message removes it from your own mailbox. The recipient's copy is in their mailbox and is unaffected.

Is there any way to remove access to a Gmail message after sending it?

Yes, if you sent it in confidential mode. Gmail Help says you can open the confidential email in Sent and click Remove access, or set an expiry date when you send it. Recipients can still take screenshots or photos while they have access.
